Tips for a more efficient work process

It seems to me that when discussing work processes, the two most important words (that are closely related) are efficiency and effectivity. What is the difference between these two terms, and what exactly is efficiency?


The term ‘efficiency’ refers to the input-output ratio, a correct and optimal utilization of resources and project costs. ‘Effectivity’ refers to the level of goal, objective and output attainment and their quality. Effectivity undoubtedly plays a vital part in our work and should certainly be given due respect. However, efficiency should not be neglected. I view efficiency as a tool that directs and accompanies every project, I take part in.


Efficiency allows me to find the best and most correct way to succeed in this specific project and therefore ensure its successful completion.


To ensure a project’s efficiency, I take the following step:

  1. I review the project and break down to stages. In other words, I prioritize. Each project’s tasks can be rated according to its level or urgency, thus sorting out what’s important and should be handled first and what can wait for later stages.

  2. I collect all the data I require for the stages defined as most urgent. In some cases, this data may be held by other parties, and it is therefore important to collect and organize all of it in advance, so I am free to advance the project. This allows me to divide the resources at hand in the most efficient way, thus saving me much time.

  3. If any questions or issues requiring consultancy from my seniors arise during the work process, I save them in a single file and make an appointment for direction and assistance. This saves time and ensures I don’t forget to address these issues.

  4. Finally, once the work is completed, I perform an in-depth review and examination, checking for anything I might have missed by going through a neatly organized list. This process always assists me in detecting the difference between the desired result and the project’s actual status. This, in turn, allows us to avoid any deficiencies or flaws.
